Division of Supplies

Osama Alrawashdeh, Chief

 

Duties:

  1. Preparation estimates of the needs of the center of the materials and equipment taking into account available stock, and proposal of a purchase time-plan in order to achieve optimal use of  inventory levels according to the DTC general budget.
  2. Review the needs and the provision of materials for all sections of the DTC through tenders and purchase orders, and delivery of materials after entering them into the custody of the center according to a coding system, in accordance with an input document.
  3. Cooperation with the Maintenance Division to determine the needs of the center of the spare parts needed and providing related work orders.
  4. Maintenance of the status of stock levels of materials and spare parts of equipment, and control of material consumption and preventing occurrence of stagnant material, through the application of inspection measures on material stock.
  5. Participation in committees to study bids and purchase orders by the Technical Committee, and participation in committees to ensure that requested materials are supplied according to exact specifications, after receipt, these are acknowledged, coded and classified.
  6. Delivery of materials and spare parts under requests for supplies, and providing necessary certified output documents.
  7. Monthly inventory/record of materials and matching that with the warehouse material record (stock) and notification to the Director of any deficiency in stock- through reporting the status of the stock with reference to expiry dates near completion- in order to make use of them if feasible, in addition to materials of minimal consumption.
  8. Organizing items on the shelves and continuously making sure they are in adequate conditions in terms of cleanliness and are stored under specified storage conditions.
  9. Performing any other job when entrusted by the director of the DTC.

Reception, Medical Records and Accounting Section

  1. Receive patients and respond to their questions and queries.
  2. Receiving daily revenue and resetting funds at the end of each working day, and depositing funds at the DTC bank account.
  3. Preparation of financial claims/invoices and collection of the amounts owed to the DTC.
  4. Preparation of a monthly record of DTC revenues and coordination with the Finance Unit at JUST to distribute faculty members private work income.
  5.  Answering the phone and diverting calls to those of concern and booking appointments for patients over the phone for specialty clinics.
  6. Download doctors clinical bookings on the computer system.
  7. Book appointments for patients who personally request an appointment at the specialty clinics through the reception desk.
  8. Cancellation or postponement of appointments based upon specialist request.
  9. Print-out of patient appointment list at private and teaching clinics with financial-claims on the day before.
  10. Querying the file numbers of patients by name.
  11. Initiating files for patients of private and teaching clinics by requesting patient's name indicated by 4 initials, the national and phone number and saving them to a special computer database.
  12. Monitoring computer screen to output files requested from teaching clinics.
  13. Distribution of serial numbers to patients the initial treatment unit (ITU) clinic.

Medical Equipment Maintenance Section

Omar saideen, Chief

 

Duties:

 

 

1. Repair of equipment of the DTC.

2. Implementation of preventive maintenance programs for all equipment of the center.

3. Preparation of annual lists of spare-parts required for various equipment of the center.

4. Preparation of tender specifications for DTC and follow-up with the Department of Tenders in terms of the study, supply, installation and operation.

5. Follow-up administrative and technical matters related to corporate supplier of guaranteed devices.

6. Fix of certain structural issues in the DTC.

7. Preparation and follow-up of maintenance requests related to DTC and its divisions with the Operating & Maintenance Unit at JUST, and running its implementation.

8. Follow-up of requests for supplies and spare parts with the Central Supplies Unit at JUST.

9. Arrangement of charts and graphics of annual requirements of the DTC including wood and metal work and production of processing requests and follow up of their implementation and installation with the Engineering-Workshop Unit.

10. Preparation of  schemes for construction projects for the DTC, follow-up of their execution with the Engineering-Workshop Unit.

11. Participation in the annual orientation programme for fourth year students in dentistry.

Nursing and supporting staff Division

Duties:

Dental assistant (teaching clinics)

1.   Daily dusting of clinic equipment.

2.   Preparing instruments and devices necessary for clinical work.

3.   Assisting students during dental treatment and preparation of any necessary instruments and materials in the clinic.

4.   Data entry on the computer, such as laboratory requests.

5.   Filling of financial claim form for the patient.

6.   Receipt and delivery of patient files from the medical records division.

7.   Booking patients appointments by the nurse in the clinic.

8.   Request and receipt of materials from the warehouse.

9.   Maintenance Request for any technical malfunction of the equipment in the clinic.

 

Dental assistant (Specialty clinics)

1.   Daily dusting of clinic equipment.

2.   Preparing instruments and devices necessary for clinical work.

3.   Assisting the specialist during dental treatment and preparation of any necessary instruments and materials in the clinic.

4.  Data entry on the computer, such as laboratory requests.

5.  Filling of financial claim form for the patient.

6.  Receipt and delivery of patient files from the medical records division.

7.   Requesting laboratory appliances or prostheses before the start of the clinic.

8.   Disinfection of dental chair before and after use by the patient.

9.   Request and receipt of materials from the warehouse.

10. Maintenance Request for any technical malfunction of the equipment in the clinic.

Laboratories division

 

Mahmmoud Al tawil , Chief


 

Laboratories division duties:

1. Receipt of impressions from the clinic and both electronic and hard copy documentation in the special records and ensuring invoice is paid before delivery to the clinic.

2. Manufacture of fixed and removable prostheses and orthodontic appliances.

3. Training intern and dental technology students.

4. Maintaining a clean working environment and corroboration with the lab-cleaners.

5. Sustaining laboratory equipment and instruments in terms of cleanliness and primary maintenance and reporting any damage to the Maintenance Division when they occur.

6. Inspecting stock materials and filling orders for supplies as needed.

7. Compliance with public safety requirements in the laboratory such as closing windows, gas outlets and water valves and unplugging any live cords.

  

Laboratories division is divided into 5 main sections:

1. Orthodontics laboratory

2. Crown and bridge teaching laboratory

3. Removable prosthodontics laboratory (1)

4. Removable prosthodontics laboratory (2)

  • Quality assurance division

Duties:

1.  Review and revise the main  process of dental teaching clinics that certified by ISo

2. Establish a improvement  plan   of all activities related to quality improvement annually.

4. Developing the clinic services according quality standards 

5. Raising awareness oral health  in community through campains                        

6. Achieving patient satisfaction &improving the patient  requirements

7. Established Program Risk management in dental teaching  clinics with the  main committees



  • ​​Radiology division​

Duties:

1. plan, organize and supervise the Radiology Division through:

A- Preparing and updating work policies and procedures for the Radiology Division based on scientific knowledge and supervising and monitoring their application.

b- Supervising the distribution of work to employees in the Division and preparing the necessary programs to ensure the progress of work.

C- Preparing reports for the Division on a regular basis.

D- Ensuring the workflow in accordance with the applicable professional ethics and laws
.

2- Carrying out the general technical tasks and responsibilities of radiology technicians.

3- Developing the Radiology Division through:

A- Supporting the continuous education and training program for employees.

B - Develop a strategic plan for the division.

C- Implementing quality assurance programs in cooperation with the administration.

d- Evaluate the performance of staff members periodically and in a transparent manner.

4- Ensure that the Division is provided with the necessary materials and supplies for the workflow.

5- Ensure that computing is used in an effective manner.

6- Ensuring the application of the necessary standards for infection control.

7- Follow public safety standards in accordance with the policies followed in the Radiology Division.

8- Supervising and following up the maintenance of equipment periodically and when necessary to ensure its effectiveness and safety.

9- Creating an effective and appropriate environment for employees' performance and encouraging teamwork.

10- Facilitate the implementation of student training programs, in coordination with their supervisors, according to the instructions in force at the university.

11- Determining the existing and potential problems within his competence and working to prevent their occurrence and address them within carefully studied plans.

12- General supervision of all employees of the Radiology Division.

13- Setting the daily and weekly work program according to the work requirements.

14- Rotate radiology technicians between clinics as required by the workflow.

15- Supervising the daily and weekly maintenance work in the Division.

16- Direct supervision of the cleaning work in the division and inform the administration of any failure.

17- Electronically approve and approve the departures and licenses of technicians.

18- Signing the materials and tools exchange forms for the division from the warehouse.

19- Notify the Head of the Maintenance Division in writing of any malfunction, mentioning the date and time of notification and the name of the cause of the malfunction, if any, as well as receiving it from the maintenance technician after taking the necessary action.

20 - Supervising the work of the trainee students in the division.

Assigning any of the Division’s employees to any work he deems appropriate

Administration Division

Duties:

I. General inbox:

1. Receive messages to the DTC from JUST presidency mail.

2. Seal inbox documents with inbox-stamp and document in the general inbox record contained and save a copy in the general inbox file.

3. Entry of inbox documents into archiving system recognized by JUST, excluding copies from the archiving system.

4. Display of mail to the director of the DTC for any written explanations including: orders, approvals or disapprovals…etc

5. Scanning and archiving inbox documents after written explanations are provided by the director of DTC.

6. Documents are distributed to those concerned according to explanations supplied by the director of the DTC.

 

II. Issued mail (outbox):

1. Based on the recommendations of the director of the DTC, the administration division chief personal executes outgoing letters and documents.

2. Letters and documents are printed by the secretary.

3. Letters and documents are proof-read by the administration division chief personal.

4. Administration division chief personal displays the letters and documents to the director for verification.

5. The secretary amends any adjustments noted by the DTC director.

6. The DTC director signs the document.

7. The administration personnel labels the document with a serial number from  the issued-mail-record as well as recording the date of issue in the document and in the record.

8. The document is issued according to JUST archiving system and a copy is kept in the issued- issued-mail-record/file.
